Project Management Client Onboarding Process

Initial Consultation

Purpose: Understand client’s vision, project goals, and expectations.

Deliverables:

  • Introductory call/meeting.
  • Gather high-level details (budget, timeline, scope, location, vendors if any).
  • Explain 8PS services and process.

Proposal & Agreement

Purpose: Set clear expectations and responsibilities.

Deliverables:

  • Customized proposal outlining scope of work.
  • Service agreement/contract signed.
  • Payment schedule or retainer set up.

Project Kickoff

Purpose: Officially launch the partnership.

Deliverables:

  • Kickoff meeting with client & stakeholders.
  • Introduction to 8PS project manager/team.
  • Share project roadmap and communication plan (email, calls, reports).

Discovery & Planning

Purpose: Define the foundation of the project.

Deliverables:

  • Collect necessary documents, permits, or drawings.
  • Finalize project timeline, milestones, and budget breakdown.
  • Identify vendors, contractors, or specialists needed.
  • Risk assessment + contingency planning.

Project Setup in Management System

Purpose: Ensure transparency and efficiency.

Deliverables:

  • Create client project portal in ClickUp/Asana.
  • Upload timeline, documents, reports, and contact info.
  • Assign access to client so they can track progress.

Execution & Coordination

Purpose: Begin hands-on project management.

Deliverables:

  • Vendor and contractor coordination.
  • Budget monitoring + approvals.
  • Weekly updates (via portal/email).
  • Site visits or check-ins (as needed).

Reporting & Client Communication

Purpose: Keep client informed and confident.

Deliverables:

  • Weekly status updates (progress, issues, next steps).
  • Monthly financial reports.
  • Open channel for client questions/approvals.

Quality Assurance & Completion

Purpose: Deliver a successful, polished project.

Deliverables:

  • Final walkthrough/inspection.
  • Vendor performance evaluation.
  • Completion report with before/after notes.
  • Client satisfaction meeting.

Post-Project Support

Purpose: Build lasting relationships.

Deliverables:

  • Transition into Property Management (if applicable).
  • Ongoing vendor recommendations.
  • Optional quarterly check-ins to ensure project success.
